2. Cancellation and Refund Eligibility

2.1 Service Cancellations

Cancellation eligibility and refund amounts depend on how far in advance you cancel your scheduled service:

  • More than 7 days before scheduled service: Full refund of the service fee
  • 3-7 days before scheduled service: 75% refund of the service fee
  • 24-72 hours before scheduled service: 50% refund of the service fee
  • Less than 24 hours before scheduled service: No refund
  • No-shows: No refund

2.2 Rescheduling

We understand that schedules can change. If you need to reschedule your service:

  • More than 48 hours before scheduled service: You may reschedule once at no additional charge
  • Less than 48 hours before scheduled service: A rescheduling fee of £25 will apply
  • Second or subsequent rescheduling: A rescheduling fee of £25 will apply regardless of timing

2.3 Service Dissatisfaction

If you are dissatisfied with the service provided:

  • You must notify us within 48 hours of the service completion by email at [email protected]
  • Your notification should include specific details about the aspects of the service that did not meet your expectations
  • We will first attempt to remedy the situation by offering adjustments or additional service time at no extra cost
  • If a resolution cannot be reached, we may offer a partial refund at our discretion, based on the specific circumstances

2.4 Gift Certificates

For gift certificates:

  • Gift certificates are non-refundable once purchased
  • Gift certificates are valid for 12 months from the date of purchase
  • Gift certificates can be transferred to another person

3.1 How to Request a Refund

To request a refund or cancellation:

  2. Include your full name, the service booked, the date of the scheduled service, and your reason for cancellation or refund

  • We will process the refund within 5-7 business days of approval
  • Refunds will be issued to the original payment method used for the purchase
  • Depending on your payment provider, it may take an additional 5-10 business days for the refund to appear in your account

4.1 Cancellation by Soft Wave Form

If we need to cancel your scheduled service:

  • We will notify you as soon as possible
  • You will be offered the choice of rescheduling or receiving a full refund
  • If the cancellation is due to circumstances within our control, we may offer additional compensation such as a discount on future services

4.2 Illness or Emergency

In case of genuine illness or emergency:

  • If you are unable to attend your scheduled service due to illness or emergency, please contact us as soon as possible
  • With appropriate documentation (such as a doctor's note), we may waive or reduce the standard cancellation fees
  • Each situation will be evaluated on a case-by-case basis

4.3 Weather Conditions or Force Majeure

In the event of severe weather conditions or other circumstances beyond our control:

  • If travel to your location or our studio becomes unsafe or impossible due to severe weather conditions or other force majeure events
  • Either party may cancel the service without penalty
  • We will work with you to reschedule at the earliest convenient time

5. Exceptions to the Refund Policy

The following services and situations are generally non-refundable:

  • Services that have already been completed
  • Cancellations less than 24 hours before the scheduled service (except in cases of emergency as described in section 4.2)
  • No-shows for scheduled appointments
  • Gift certificates after purchase
  • Digital products or guides once they have been downloaded

6. Changes to the Refund Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services following the posting of changes constitutes your acceptance of such changes.
